A smooth setup creates a successful weekend. Follow this step-by-step checklist from arrival to opening to make sure your booth is ready before the doors open.

Before You Arrive

Verify your booth number.
Review your arrival instructions.
Have your parking pass or credentials ready.
Make sure your phone is fully charged.
Wear comfortable shoes.

Load-In

Check in with event staff.
Locate your booth space.
Unload your vehicle efficiently.
Move your vehicle after unloading if required.
Introduce yourself to neighboring vendors.

Booth Setup

Position tables.
Install table coverings.
Set up shelving and displays.
Hang banners and signage.
Arrange your hook item where it is visible from the aisle.
Organize inventory.
Stock backup inventory under the table.

Electronics

Connect power if available.
Plug in display lighting.
Charge your phone or tablet.
Connect and test your credit card reader.
Verify Wi-Fi or cellular service.

Merchandising

Price every item.
Face products toward the aisle.
Fill empty display areas.
Make sure best-selling products are easy to find.
Keep the front of the booth clean and inviting.

Marketing

Display business cards.
Display QR codes.

Set out promotional materials.
Make email signup available.

Final Walkthrough

Walk 20–30 feet away and look back at your booth.
Is your branding easy to see?
Can customers immediately tell what you sell?
Is your hook item visible?
Are all prices clearly displayed?
Remove empty boxes and clutter.
Straighten displays.
Take photos of your completed booth.

Ready for Opening

Greet neighboring vendors.
Have water nearby.
Put your phone on silent (except payment notifications).
Smile!
You're ready for a great convention weekend.

Customers form an impression of your booth within just a few seconds. Taking a few extra minutes before the doors open to organize, clean, and review your display can make a noticeable difference in both traffic and sales.
